Every tournament director knows the moment. Late registration is closing, three players are asking about a re-entry, the clock is two minutes from the next level and there is a queue at the desk. That is exactly when a manual system stops being a system and starts being a risk.

If you are still tracking levels, seats and payouts on a spreadsheet or a sheet of paper, you are not short of options for replacing it. You are short of the right one. 1. Paper sheets and a stopwatch

The oldest alternative, and the cheapest. You write the blind structure on a whiteboard, draw seats by hand and keep the clock on your phone or a kitchen timer.

The problem is arithmetic under pressure. Every rebuy, every late entry and every elimination has to be written down, re-counted and reconciled by hand. When the room is full, a single missed entry breaks the chip count, and the payout table no longer adds up. Players notice. Trust slips.

2. A generic spreadsheet

Spreadsheets feel more professional, but they are built for accounting, not for a live poker room. They do not know what a level is. They will not advance the blinds on their own, and they cannot draw a balanced seat in a way players will accept.

Worse, a spreadsheet cannot keep up with the room. Two people cannot safely edit it at once without overwriting each other, so while you are typing a late registration, someone else is changing the same row. Human error does not disappear with a spreadsheet - it just moves from the paper to the formula.
